Four Weeks to AWA Expo and SAST contest deadlines!
Well ladies and gents, the deadline for Pro has come and gone (and, due to some screwy problems with the FTP site, has arrived again). But let's not forget that we've got two more contests still open for submission!
AWA Expo is our traditional exposition contest. Any subject, any footage, any audio. The only restriction is that you can't enter a video here if you've entered it in a previous AWA contest. A general viewing pool for everything from the traditional tried-and-true to the experimental, insane, and utterly out-there. Enter up to 2 hours worth of videos per contestant (though few ever take us up on that limit). Judged by AWA staff and friends.
The Short Attention Span Theater is our brand new contest. Taking its cue from the AMV Hell projects, this is a contest for extremely short subjects. Designed for those video ideas that you always thought were clever, funny, perfect matches, etc., but couldn't be sustained throughout a full 2-3 minute video, this contest is for submissions of around thirty seconds or less are welcome. Excerpts from songs, advertisements, previews, whatever strikes your fancy, so long as it's short. The contest will be assembled into one long project-like format and screened for audience judging (ballots) at AWA 12 during the awards ceremony.
I do have one request, however. I've just been notified by the tech end of our crew that a surprisingly large number of our pro contestants this year didn't bother to include everything necessary for submission. Specifically the text file that's supposed to be included with entries in order to identify the entries in our organizational system. This is leading to a big hassle on our end as we try to keep from mis-attributing videos to the wrong people, or them getting lost between the cracks altogether.
Normally, this is a disqualifying error. However SO MANY of the entries did it, it would destroy the contest if we enforced it. So we made an exception for Pro this year.
PLEASE don't let this happen for SAST or Expo. (Especially considering the volume of entries involved.) Everyone please read the rules and provide the requested text files when you submit your entries.
Thanks, and looking forward to stiff competition this year!

Considering my Expo video was included in the same package as my Pro entry (and I did not include the necessary text file, although the text file for my Pro entry does exist in some capacity), does this exempt me from disqualification, do I still have the option of getting you said text file, or am I SOL?
Oh, and any word on that snail mail list?

The expo contest isn't any where near expiring, so you've still got the chance to get us the file.Kionon wrote:Considering my Expo video was included in the same package as my Pro entry (and I did not include the necessary text file, although the text file for my Pro entry does exist in some capacity), does this exempt me from disqualification, do I still have the option of getting you said text file, or am I SOL?
Oh, and any word on that snail mail list?
As for the second note, Wayne only made this discovery tonight while going through all the snail-mail entries, so I wouldn't bother him right now about it. Give him a day...

Not sure what you mean by text file i'm looking over the nitty gritty rules and i'm having trouble understanding what your talking about, are you refering to the form we mail in? Just making sure.
i got this from the e-mail on the ftp
"When uploading, your file name must conform to the following format:
Creator-Studio-VideoName-AudioSources-VideoSources
If creator and studio name are the same, omit the studio name. If
you have 3 or more video sources, just put 'Various' in the
VideoSources spot. If you have 3 or more audio sources, just put
'Various' in the AudioSources spot.
Example file name:
'George_Burdell-Buzz_Studios-The_Jackets-Various-Various.mpg'"

"Digital Submissions
We require that video artists submit their works digitally instead of via analog cassette tape. All submissions will be archived digitally by AWA VAT for final presentation at the convention. To allow the artist maximum control over the final appearance of the submission when presented, and to prevent conversion degradation, it is in the artist's best interest to handle the digital conversion themselves. Also, if a video entry was created digitally, higher quality can be achieved by maintaining its digital form. Thus, submitting digitally is the preferred method for the AWA contests. If you have any questions, please contact awavat@charter.net
To submit digitally, burn the files to CDs or DVDs and mail them to Wayne Hamilton, 3713 Haven View Cir, Birmingham, AL 35216. Alternately, you can use the FTP site to transfer the files to us online. The FTP site we are using is www.awa-vat.com Please go to that site for instructions for online submissions. Technical questions should be directed to the e-mail listed on that site. Organizational questions concerning online submissions should be sent to gte106k@mail.gatech.edu
For mail submissions, please DO NOT combine different contests onto a single disc. Label the outside of the media clearly with a permanent marker (on the disc, not just the sleeve) with the contest it is intended for. Please be specific (SAST, Pro, Expo) and include the year 2006 and your name. If a file is too large to fit on a single media disc (such as a 1 gigabyte AVI file on 650 megabyte CDs), please use ZIP (WinZip ) or RAR (Rarsoft ) to break the file into manageable parts and burn those to the media, clearly labeling each of them as part of a set (3 of 7 or XXX of YYY). You may combine multiple files onto a single media if there is room, but again please do not combine files from different contests, as that will confuse things and make it possible that an entry is lost. Please do not send media formatted as VCDs, SVCDs, or DVD-Video Discs. They should all be data formatted media that is readable in a PC or MAC. We want to treat them as simple files.
Written on the media should be:
• Your Name and/or Studio Name
• The Contest (including year)
• What part of a multi part disc set this is (if applicable) (XXX of YYY)
"
"To be sure of this, there is a form at the end of these rules which will need to be filled out and sent in with your DVDs. On the form, in addition to all the video information we need, is an "over 18" or "under 18" box. If you are under 18 and still wish to participate, please have your legal guardian read the paragraph at the bottom and sign the form to grant permission. DO NOT FORGET to send this form in with your entry, with all the proper info entered. Forgetting to include or fill out the form may result in disqualification. This form is ONLY needed for the Pro contest. Yeah, we know it's a hassle, but we aren't about to get you or ourselves in trouble over our little hobby."

In the short form there is this:
"Include a letter with the video tape with all the required info."
Which I guess describes the intent although it's literally irrelevant this year.
In the long form, it looks like some text was deleted from last year's rules:

I don't think there ever was an official form. This is what I've used the past few years. Feel free to copy to Notepad (save as simple text file). The filename should match the name of the video file except with a .txt extension.For every video art file submitted, please include a text file with the same name (except with .txt extension) detailing the song artist and title, footage sources used in that file, its format, and your information: name, email address, mailing address and studio name as listed below. Also include the contest(s) you are entering, and please be specific. Do not forget to include the year <strike>2005</strike>. A lot of information may be duplicated in the text files if you submit multiple video arts to a contest, but that is acceptable and easier for us to track....
Contained within the text file should be:
* Your Name(s)
* Your Email Address
* Your Mailing Address
* Your Studio Name (if applicable)
* The Contest (including year)
* Song Artist
* Song Title
* Footage Used
* Format of the file, including CODEC if applicable
If you are part of a multi-person group who created the files, please list all of the creators in the "Your Name" section of the files and emails. For email and mailing addreass, please choose one that can be used as a central point of contact.

Ah... that would explain why it's missing from so many then.
Crud. Sorry guys. Last time I write up the official rules by committee...
I'm going back to the page now and correcting the rules. (How the hell did that get deleted between drafts?!?)
Sooo... lemme try a compromise to keep our workload down a little. Everyone who still can, please include a text file with mailed submissions (included on the same disc as the video) as TaranT kindly provided below. If you didn't or can't (pro submissions), don't worry about it. We can, of course, reconstruct the text files from the pro submission forms, but Expo and SAST are likely to get pretty muddled since they don't require 'em.

Might want to correct that, since it might lead to more problemsMCWagner wrote:Also include the contest(s) you are entering, and please be specific. Do not forget to include the year 2005.
And do you want me to upload the txt file to the server where I put my SAS entry? or is this just for snail mail or is it needed for the FTP'd videos as well. Plus if you'd like I can make a text file for my pro entry and e-mail it to the proper address. Even though you said that you'd let it slide since it was an accident I still wanna make sure that I don't get left out.
heh, amv creator paranoia at it's best

Gimme a minute, I'll make a cool one....
