All submitted entries that have closed FTP accounts have been processed at this time. All status has been updated including marking DQ for any entry that still is in need of re-submission due to failing QC. Having done this will now facilitate the start of the post deadline re-submission period. All entrants with outstanding FTP accounts still have until Midnight tomorrow (aprox 28 hours) with which to get your entries in via FTP. For anyone who's video(s) have been DQ'ed due to failure to pass QC you will have until this coming Friday, April 22nd, at aprox 5PM EDT, to have your re-submission in our hands. The time is approximate as traffic may slow me down in getting home from work, however as soon as I get home I will shut down the FTP server. This is a HARD deadline, any FTP sessions still active will be severed at this time so make sure you get your fixed video in early enough. No further extensions or grace periods will be given.

I will once again post the following for your reference in regards to QC'ing your video(s) BEFORE submitting. Remember, you have only 1 shot to fix your entry. Failure to do so will result in your video being DQ'ed and no further chances for re-submission will be given. Make SURE your video meets the requirements outlined in the rules for entry formatting BEFORE you submit. We will not fix your entry for you.

The majority of the tech problems we see with submissions are the result of poor Quality Control. Do not create extra work for yourself. Just because your file plays in your media player do not assume you have formatted it properly. Always double check your file and compare the output you encoded. If you burned a disc don't assume a verify pass means its good. You must play back the file and watch it all the way through.

A program like http://mediainfo.sourceforge.net/en is useful for checking your file's formatting from its header but you should still always watch the entire video through to see if there are problems. Programs like this can often report things slightly different from playback so it still does not hurt to triple check and use another program to check and see how the file is actually being decoded.


I use both the program listed in the FAQ above as well as GSpot in order to check the settings of a video, as well as watch it all the way through, before it passes the first QC check and the video is received.


Both GSpot and Media Info are free programs. There should be no excuse for why you can't use either of these programs to check your entries before you submit.

You use the account credentials that you were given (and are listed in the entry system) and log into the FTP server using an FTP program. If you don't know how to use FTP, how did you submit your entries?

It would appear I'm too late to submit.
The opening entry said there were four days left but that was five days ago, ya?

Better luck next year. Though on the bright side you already have an account now so you don't have to worry about that for Youmacon or next acen |:>

Closed FTP account and have been sitting with a status of video entry recieved and haven't had any notes on DQs or problems listed, should I take that as everything good on my part then?

If you check the Help section on the entry system it explains what each status means.

Specifically for ACEN, Video Received means that your entry was received and passed the first round of QC (adherence to the entry guidelines and first pass content check.) The next set of status updates that you will receive will be one of the following, Entry Accepted (video passed 2nd round QC and prejudging and will compete in the contest), Entry Accepted for Overflow (video passed 2nd round QC but not pre-judging and will be shown at the convention but not compete in the contest), Problems Found (video did not pass the 2nd round QC due to some content issue normally and will not compete or be shown at the convention.) But also keep in mind that failing first round QC does grant you the chance to re-submit within the current re-submission window.

Alright everyone. All videos have been processed. What this means is that you should check your entry status in order to see if there are any issues with your entry that need fixing so that you can take advantage of the re-submission period that ends at 5PM EDT this Friday, April 22nd. Remember, you only have 1 chance to submit a correct version, so please look at my previous post with information on how to do QC on your own video(s). There have been a number of DQs and it is up to each editor to make sure that their entry was received and is correct. All you need to do is hit the button that says 'Request Re-submit FTP Account' on the entry status page in order to have your re-submit account created, the procedure for re-submit is the same as for normal FTP accounts.

Thank you for your entries and good luck as we begin the 2nd round QC and pre-judging process. We will post again once that step has been completed and entry status has been changed once again to reflect which videos made it into the contest.

was getting worried that my status still said "video received", that means that there were no problems then? that's good to hear.

Hmmm.. well, ok, I fixed it and re-submitted it in time, then I get an e-mail the FTP was not working while at Sakura-Con (worked for me?) last Tuesday.. then my status is still DQed...

I'll have to say this, so is by far the most complex uplaod system and feedback system I've done... Oh well, there is a lot of other contest out there besides this one

Vlad: The reason you got that email is because you never closed your FTP account before I sent out the messages (nor did you close the FTP account the first time you submitted which would have given you the chance to fix your entry beforehand.) As the account was not closed the server did not release the video for me to check over so there was no way to verify if you did in fact send the video, so when I found out about the login issues with the FTP server I sent the backup request out to you as well.

I have been out on vacation this past weekend as well, so I have not been able to check any of the re-submitted videos until now. I am going through QC on them as we speak and updating the database. As I had limited network access I couldn't respond to any emails until now.

Edit: All entries sent in for re-submission have gone through QC and I'm pleased to say every one has passed. We will begin the 2nd round of QC and pre-judging shortly. When that phase of the process is complete your status will either change to "Video Accepted" or "Accepted for Overflow". If your entry is in the Accepted status that means your entry will compete in the contest If your status shows Overflow then your entry will be shown at the con but will not compete.
